The Ziauddin Alumni Online website is provided free of charge to alumni, associate alumni, staff, students and friends of the University. The details of all users will be verified during registration before a User is granted access to the communities on the website. The University reserves the right to refuse access to anyone who misuses the site in any way and to delete User accounts or inappropriate updates to individual profiles.

Scope of Policy:

The policy will discuss a set of guidelines to be followed while handling and sharing databases to ensure data availability, integrity, and confidentiality.

Policy Purpose:

The purpose of this policy is to standardize the database maintaining and data sharing processes keeping in view the three basic aspects of data: access, integrity & security. The purpose of the Policy is to define procedures to access & share data and information held by UAO. This policy will cover three types of database University advancement office is maintaining.

Data Sharing:

• Under this policy, access to the complete data is restricted to University Alumni Office (UAO) only where the data manager is responsible for ensuring data security.
• The data of alumni from different colleges/faculties will be shared with the respective Principals to help them increase liaison with their respective alumni. The same will be requested from colleges/faculties for better synced reach out activities.
• The colleges/faculty can request data and can be given access to relevant fields. The purpose of data sharing needs to be documented and the request needs to be routed through University Alumni Office.
• If any college/faculty needs to reach out to alumni and request data access, the following is policy procedure for same:
  • The college/faculty will send information to be shared with alumni to alumni office which will take responsibility to reach out without sharing data.
  • Incase where special support from a segment of alumni is solicited, the alumni office needs to take consent of relevant alumni before sharing contact.
  • The college/faculty can route data request through Pro-Chancellor on the minute sheet (Official Channel), the case of data sharing is subject to the approval of competent authorities.
• No alumni data will be shared with other alumni, business interests, sales teams, or discount partners.
• Alumni data is not to be shared with students for seeking sponsorships and support by schools or central offices.
• All contacts to alumni from Ziauddin University needs to routed through alumni office or have alumni office in CC.
• All the data taken during registration on the alumni portal will be stored on Ziauddin ICT servers
